No need to worry; you'll still have access to this feature, but unfortunately, we can no longer support the Shift Trades feature after 1st of December 2023. The good news, though, we're replacing it with new and improved features that will be even better. This feature will be replaced with Shift Trades in our new Scheduling feature. This is a legacy feature that is no longer available for customers who signed up for Tymeshift after July 27th, 2022.
tymeshift provides an efficient way for employees to part. Giving employees the freedom to easily and efficiently swap Shifts not only ensures adequate coverage of service, but it also frees up some of the manager's time.
- Submit a Full Shift Trade
- Submit a Partial Shift Trade
- Submit All Future Repeats of the Shift
- Select an available Shift Trade
- Accept a Shift Trade
- Complete a Shift Trade
Note: agents are not able to trade shifts for current day and all trades have to be made for future dates.
If an agent wants to request a Full Shift Trade, they should follow the steps below:
- Log in to the tymeshift WebApp.
- Click on Schedule .
- Click on My Schedule.
- Right-click on a Shift you want to trade.
- Click on .
Important: if an agent doesn't select any of the given options from the pop-up, and just clicks on , it means that they want to Trade a Full Shift.
If an agent only wants to trade part of their Shift, they should follow the steps below:
- Log in to the tymeshift WebApp.
- Click on Schedule .
- Click on My Schedule.
- Right-click on the Shift you want to trade.
- Click on Swap Partial Shift.
- Type the Start and End time to indicate which part of the Shift you want to trade.
- Click on .
Submit All Future Repeats of the Shift
To trade all repeating instances of a particular Shift, please follow the steps below:
- Log in to the tymeshift WebApp.
- Click on Schedule .
- Click on My Schedule.
- Right-click on the Repeating Shift you want to trade.
- Click on Swap All Future Shifts.
- Click on .
Important: requesting a trade of All Future Shifts means that you selected a Shift that is set to repeat. To accept such a trade, the other agent also needs to offer in return all of their future repeating Shifts.
Once submitted, the trade request will go into a trade queue on the left side of the Schedule page under the Shift Trades section. This is visible to all agents. Agents will see the Shift name, Start and End time of the Shift, date, and the requester of the trade.
Agents who would like to pick a Shift Trade should follow the steps below:
- Log in to the tymeshift WebApp.
- Click on Schedule .
- Click on My Schedule.
- Select the available Shift Trade from the left sidebar.
- Select one of the following options:
- Take only part of the Shift.
- Select one of your Shifts for the current week to offer in return.
- Don't offer a Shift in return.
6. Submit the trade proposal by clicking on .
Once an agent who is willing to take the available Shift Trade submits a proposal, the requester of the Shift Trade receives a notification and is required to accept or decline the trade proposal.
To accept or decline the trade proposal, please follow the steps below:
- Log in to the tymeshift WebApp.
- Click on the notification icon on the top right corner.
- Click on Accept or Decline the proposal.
Note: if there are multiple partial Shift Trade proposals and agent selects one of them, those proposals that have overlapping time with the one that was accepted by the requester will be automatically canceled and a notification will be sent to the agent whose proposal was canceled. For those proposals that do not have the hours overlapping with the one that was accepted, the trade proposal will remain active and the requester will be still able to select it. Once the requester accepts the partial Shift Trade proposal, the rest of the available Shift hours will be visible for other agents to still place their Shift Trade proposals.
Depending on the Schedule Settings, Shift Trades can be made with or without a manager's approval. To Approve or Decline the Shift Trade, a team admin must go to the Approvals page and review the trade request.
Note: you need to have Admin Rights enabled within Agent Permissions to use this feature.
To access the Approval page, please follow the steps below:
- Log in to the tymeshift WebApp.
- Click on Schedule .
- Click on Approvals on the left sidebar menu.
- Click on Approve or Decline the Shift Trade proposal.
You have completed a Shift Trade!
Note: if you have push notifications and emails enabled in the Schedule Settings, both the agent that is offering and the agent that is accepting the trade will get emails and notifications regarding the status of the trade.
Important: In order for your agents to successfully submit and trade their shift notifications under Schedule Settings have to be enabled.
